Team cost
What an hour of your team's time really costs.
Repetitive tasks
Repetitive work that follows the same steps every time. Up to 10 tasks.
e.g. Reading forms and PDFs, drafting quotes, contracts and proposals
e.g. Creating invoices, chasing payments, matching receipts
e.g. Sorting the inbox, forwarding, answering the same questions
e.g. Back-and-forth to book meetings, appointments and reminders
e.g. Welcome emails, collecting documents, setting up accounts
Automation cost
What it costs to build and run the automation.

What to automate first
1.Documents, quotes & proposals
$20,354/year
15 hrs/week today → saves 8.3 hrs/week (380 hrs/year) · 32% of your savings
2.Email triage & routine replies
$17,763/year
16 hrs/week today → saves 7.2 hrs/week (331 hrs/year) · 28% of your savings
3.Invoicing, payments & bookkeeping
$8,882/year
6 hrs/week today → saves 3.6 hrs/week (166 hrs/year) · 14% of your savings
4.Scheduling & bookings
$8,635/year
5 hrs/week today → saves 3.5 hrs/week (161 hrs/year) · 14% of your savings
5.Client onboarding & paperwork
$7,401/year
6 hrs/week today → saves 3 hrs/week (138 hrs/year) · 12% of your savings
Start with the top one or two. Proving savings on one workflow first keeps setup costs low and makes the rest easier to approve.

Turn this estimate into a build plan
We map your real workflows, confirm which steps can be automated safely, and quote a fixed setup cost — so the savings above become a plan you can approve.
Directional estimate based on your inputs. Task automation percentages are rounded starting points, not published benchmarks — time a typical week and replace them with your own numbers. Likely range = automatable share −30% / +20%. Savings are the value of staff time freed; they become cash savings only if that time is redeployed or hiring is avoided. Last updated November 2026.
What the AI Automation Savings Calculator does
It puts a number on the time your team spends on repetitive work — data entry, inbox triage, bookings, follow-ups, reports, invoices — and shows how much of it AI and workflow automation could take over, what that is worth after tool and support costs, and how quickly the setup pays for itself.
What you enter
Your team’s salary and on-costs, the repetitive tasks they do each week, and what the automation costs to set up and run.
What you get
Hours and full-time staff freed, net savings per year and over 24 months, payback month, ROI, and which tasks to automate first.
Best for
Owners and operations leaders deciding whether AI automation is worth it — and where to start.
The methodology
- ›Each task’s weekly hours are multiplied by the share AI and automation can take over — typical starting percentages are filled in for each type of work, and you can change them.
- ›Saved hours are valued at the real cost of an hour of staff time, including on-costs — not just salary.
- ›Savings build up over your adoption period, then the one-time setup and monthly running costs are taken off month by month to find the payback point.
- ›A likely range shows the result if 30% less, or 20% more, of each task can be automated than you entered.

Common Questions About AI Automation Savings
What does the AI Automation Savings Calculator do?
It estimates how many hours of repetitive work AI and workflow automation could take off your team each week, what those hours are worth at your real staff cost, and what is left after the setup and monthly running costs. It shows your payback month, first-year and 3-year ROI, the net savings over 24 months, and which tasks to automate first.
Which tasks are best to automate with AI?
Work that follows the same steps every time and happens often: copying data between systems, sorting and answering routine emails, booking appointments, following up leads, building weekly reports, creating invoices and chasing payments, and reading forms or documents. Tasks that need judgement, relationships or one-off decisions are usually only partly automatable.
Where do the automation percentages come from?
They are rounded, conservative starting points for each type of work — not published benchmarks. Every business is different, so the best approach is to time a typical week, then change the hours and the automatable percentage for each task to match what you see.
Why include on-costs and not just salary?
An hour of staff time costs more than the hourly wage. Superannuation, payroll tax, leave, equipment and office space usually add 20–30% on top of salary. Leaving them out understates what repetitive work really costs.
Are the savings real cash savings?
They are the value of staff time freed. They turn into cash when that time goes into revenue work (more sales calls, faster customer service, more projects) or when you can grow without hiring. Automation rarely means cutting roles — more often, the same team handles more work.
What does "months to full adoption" mean?
Savings do not arrive on day one. People need time to switch over, and automations get tuned in the first weeks. The calculator builds savings up evenly over this period — for example, with 3 months, you get a third of the savings in month 1, two thirds in month 2 and the full amount from month 3.
What is a good payback period for automation?
Under 6 months is a strong case and under 12 months is a good one. Between 12 and 24 months it can still be worth doing, but start with the highest-value task to prove the savings first. If it does not pay back within 2 years, lower the setup cost or focus on bigger tasks.
